6–12 Months Before

Planning & Strategy

GOALS

  • Define event purpose and objectives (help community, provide resources & support to veterans, support children, help animals, etc.).

TASKS

  • Form event committee and assign roles.
  • Choose a date, time, and location.
  • Develop an initial budget (venue, food, marketing, insurance, etc.).
  • Secure sponsorships and nonprofit partners.

4–6 Months Before

Logistics & Promotion Setup

GOALS

  • Finalize location, community leader involvement and role of partners.
  • Begin promotion to “save the date” and encourage volunteer signups.

TASKS

  • Confirm location, food, entertainment, and AV.
  • Apply for necessary permits and insurance, if applicable.
  • Design branding, theme, and event materials.
  • Launch on the web, offering a way to register/signup/volunteer.

2–3 Months Before

Event Day

Host Your Event

  • Send thank-you emails or letters to attendees, sponsors, and volunteers.

  • Reconcile budget and record donations.
  • Conduct a post-event debrief with your team.
